The Opportunity

Bok Seng Logistics operates a 28-room dormitory for its workers, where utilities are charged at a fixed monthly rate. However, without visibility into the electricity and water consumption of each room, the dormitory team had limited control over actual usage. Whenever consumption exceeded the amount collected, the additional utility cost had to be absorbed by the company, creating uncertainty over whether the monthly utility charges would be sufficient to cover the actual bills.

Water consumption was a particular concern, as some workers washed their clothes inside their rooms despite having access to a dedicated laundry area. While the dormitory team could run awareness campaigns to encourage responsible usage, these efforts required ongoing attention and could not guarantee that consumption would remain within the expected limit.

Utility billing and tenancy administration were also largely manual, requiring the finance and admin teams to spend time on repetitive tasks that could otherwise be automated.

Our Approach

We deployed IoT-based electricity and water meters within the dormitory's existing infrastructure, enabling Bok Seng to monitor actual utility consumption at individual room level. The data is connected to our VG Core platform, providing the team with one centralised system to monitor consumption, manage utility billing and oversee tenancy information.

With room-level consumption data available, Bok Seng no longer needs to rely solely on behavioural campaigns to manage excessive usage. Workers can be made accountable for the utilities they consume, with actual usage tracked and billed accordingly. This gives the dormitory operator greater control over utility costs while encouraging more responsible electricity and water consumption.

A key advantage of VG Core is its open API architecture, which allows the platform to work with other existing business systems rather than operating as a standalone solution. For Bok Seng, the platform was integrated with its existing finance system, allowing utility and billing information to flow into its current processes while significantly reducing the manual workload for the finance and admin teams.

The Outcome

With real-time, room-level utility monitoring in place, Bok Seng now has greater visibility and control over electricity and water consumption across its worker dormitory. Excessive usage can be identified and attributed to the relevant room, reducing the financial risk of the company having to absorb utility costs that exceed the amount collected.

The centralised platform has also streamlined utility billing and tenancy administration, reducing more than 90% of the manual work previously required and delivering an estimated SGD 12,000 in productivity cost savings annually. Instead of spending time on repetitive billing and administrative processes, the finance and admin teams can focus on higher-value work.

Beyond cost and productivity improvements, real-time monitoring provides the operations team with alerts for faults and unusual consumption patterns, allowing potential issues to be identified and addressed earlier, sometimes even before workers report a problem. Usage patterns can also provide useful insights into room occupancy, helping the team identify suitable periods for maintenance and other operational activities.
